Privacy policy
Inspectio (“we”, “us”) provides fleet and inspection management software. This policy describes how we handle personal data when you use our website and services at inspectio.co.uk and related applications.
1. Who is responsible
The data controller is the entity operating the Inspectio service. For privacy-related requests, use the contact details in section 9. If you are using Inspectio through an employer or organisation, your organisation may also process data in its own capacity; this policy covers our service as a processor or controller as applicable to your use case.
2. Data we collect
We may collect:
- Account and profile — name, email address, company name, role, and other details you or your organisation provide when registering or using the product.
- Operational and inspection data — information you or your team enter (e.g. vehicle and asset records, inspection results, photos, locations, signatures, and timestamps) in line with the features you use.
- Technical and usage — device type, browser, IP address, log data, session identifiers, and product usage to operate, secure, and improve the service.
- Communications — messages you send to support and related records.
- Sign-in with third parties — if you choose to log in with Google, Facebook, Apple, or Microsoft, we receive identifiers and, where allowed by the provider, your name and email from that service as described in their terms and your account settings with them.
3. How we use your data
We use personal data to:
- provide, maintain, and secure the service (including authentication and multi-tenancy where applicable);
- process and display inspection, fleet, and related operational information you or your organisation submit;
- communicate about the product, support, and important notices;
- monitor performance, fix issues, and develop features;
- comply with law and enforce our terms and acceptable use.
4. Lawful basis (UK / EEA)
We rely on contract (providing the service you or your organisation requested), legitimate interests (security, product improvement, and proportionate analytics), and where required consent (e.g. certain cookies or marketing, where we ask for it). Where we process data on behalf of a customer (your employer), that customer is responsible for the lawful basis for workplace processing; we act as a processor in line with our agreement with them.
5. Sharing and sub-processors
We use trusted infrastructure and service providers (e.g. hosting, email, payments, and error monitoring) who process data on our instructions. We do not sell your personal data. We may disclose information if required by law, to protect rights and safety, or in connection with a business transfer, subject to applicable safeguards.
6. International transfers
If data is stored or processed outside the UK or EEA, we use appropriate safeguards (such as standard contractual clauses) where required by law.
7. Retention
We keep personal data for as long as your account is active, as needed to provide the service, and as long as we have a legitimate need (e.g. security logs, billing, and legal requirements). Deletion and export may be available through the product or on request, subject to our obligations to your organisation where applicable.
8. Your rights
Depending on your location, you may have the right to access, correct, delete, or restrict processing of your data, to object, to data portability, and to withdraw consent where processing is based on consent. You may also lodge a complaint with a supervisory authority. To exercise your rights, contact us using the details below. If your use is through an organisation, we may need to work with that organisation’s administrator for certain requests.
